1. Confirm what actually failed
Save the exact status, error text, record identifier and time you checked it. An email announcing an earlier approval is useful history, but it does not establish the current status of every related record.
| What you can confirm | Next action | Avoid this assumption |
|---|---|---|
| Business/customer profile failed | Inspect the profile feedback and submitted identity first. | A campaign edit will repair the profile. |
| Brand failed | Compare the brand feedback with the profile and source documents. | Every failure means the EIN was typed incorrectly. |
| Brand pending or in review | Record the stage and follow its current provider instructions. | Pending is another word for rejected. |
| Brand approved, campaign rejected | Use the campaign rejection guide. | Brand approval also approves the messaging program. |
| Campaign approved, texts fail | Start with the delivery decision tree. | Another brand submission is the next step. |

For direct Twilio Standard/Low Volume Standard brands, FAILED calls for inspecting the returned errors; SUSPENDED requires support involvement. Twilio can also return feedback on an approved brand, so interpret feedback alongside status rather than treating any feedback field as a rejection. See Twilio’s Standard/LVS troubleshooting documentation.
2. Reconcile the fields instead of comparing screenshots from memory
Have the business owner identify the authoritative records. Review sensitive documents through an agreed private channel. Do not place full tax IDs, tax letters or identity documents in a public inquiry form.
For HighLevel US brand registration, use the legal identity and EIN supported by the applicable tax records; a DUNS number is not a replacement for the EIN. The registration category must fit the business. HighLevel’s brand guide explains the supported paths.
Copy this table into a private working document. Record exact values privately; use masked values in handoffs that do not require the full identifier.

Do not close a row with “looks right.” Record the source, the discrepancy and the next verifiable action. If two official documents disagree, label the conflict unresolved instead of choosing whichever version seems more likely to pass.
3. Choose the next action from the evidence
| Finding | Supported next step | Stop condition |
|---|---|---|
| Clear transcription error | Correct the affected field using the provider’s permitted process; preserve a before/after record. | You cannot establish the correct source value. |
| Public brand name entered as legal name | Verify the legal entity and its relationship to the trading name. | The business owner has not confirmed that relationship. |
| Newly issued EIN; values appear consistent | Check the current provider guidance and ask support whether additional verification is needed. | Repeating the same input produces no new evidence. |
| Business was renamed or changed address | Reconcile historical and current records and ask which supporting documents the provider needs. | Available documents conflict or the approved record cannot be edited. |
| Duplicate/conflicting-record feedback | Inventory existing profile and brand IDs; ask which record should be corrected or retained. | Deleting a record could affect an active campaign. |
| Everything appears consistent but failure repeats | Escalate with a concise reconciliation record. | You would need to guess a different identity to try again. |

Twilio documents both self-service correction and a separate support-assisted review route for certain Standard/LVS failures. Follow the route that matches the actual state and interface. Do not apply a campaign resubmission procedure to a brand, or assume an API update and a Console correction have identical steps. Check the linked documentation before any deletion or recreation.
HighLevel directs users with changes to an already approved Brand/Business Profile to Support. That is different from correcting a rejected submission. Do not assume that an editable website profile changes an approved registration record.
Hypothetical example: an LLC changed its name
Illustration only. These are fictional business names, not a client case or an approval result.
A business originally received its EIN as “Harbor Workshop LLC.” It later changed its legal name to “Harbor Repair Group LLC.” The current website shows the new name, while the tax letter available to the agency still shows the old name. Registration returns a name/identifier mismatch.
| Observation | What it supports | What it does not prove |
|---|---|---|
| State change document shows the new name | There is evidence of a legal-name change. | Every downstream verification record is updated. |
| Tax letter on hand shows the old name | The agency has historical identity evidence. | The old name is the correct value for a new submission today. |
| Website uses the new name | The public-facing site reflects that name. | The tax-authority record matches it. |
| Rejection appears immediately | That attempt failed quickly. | The precise database or rule that caused the failure. |

The next step is to have the business owner establish which records are current, document the sequence of changes and ask the provider how to reconcile them. Do not alternate old and new names, use another company’s EIN or choose a different registration category merely to seek a different result.
4. Prepare a support request that can be investigated
Keep the first message short and factual. Attach sensitive evidence only through the provider’s accepted secure process.
- Setup: LC Phone/HighLevel or direct Twilio; relevant account or subaccount.
- Failed record: profile or brand; ID; current status; exact error.
- Comparison: which fields were checked, against which records and dates.
- History: changes attempted and their outcomes, including any earlier approval.
- Open question: one specific conflict you need the provider to resolve.
For the hypothetical renamed business, the question would be: “The registration returns a legal-name/identifier mismatch. Our records show a legal-name change, but the tax letter available to us has the earlier name. Which current evidence and correction path do you need for this record?” This describes the uncertainty without claiming the provider’s decision is wrong.
Before another attempt
- The failed stage and current status are recorded.
- Each disputed field has a source, an owner and a resolved value or explicit open question.
- The business owner has confirmed the identity being submitted.
- The provider permits the proposed correction for this record and state.
- The changed fields and supporting evidence are saved privately.
- Unresolved conflicts have been escalated instead of guessed.
This is a readiness check for a supported action, not an approval guarantee. Keep the investigation focused: an identity issue belongs here; a consent issue belongs in the opt-in rejection guide.
Need help reconciling the evidence?
Request an A2P rejection review with the failed stage, exact feedback and a brief description of any business-name or address change. Review scope, access and fees must be agreed before work begins. Keep tax documents and credentials out of the initial inquiry.
